Payment Reminder Message to a Client: 7 Templates That Keep the Relationship
Polite, firm and final payment reminder messages for WhatsApp and email, with timing, what to include and how to chase without hurting the relationship.

Asking for money you are owed feels awkward, so many freelancers and agencies wait too long and then write an angry message. A better approach is a calm sequence that starts before the due date, assumes the client simply forgot, and gets firmer only if it needs to. Here are seven payment reminder templates, the order to use them in, and what every message should include.
Remind early, include the invoice number, amount and a way to pay in every message, and escalate the tone in small steps.
What every payment reminder should include
A reminder that makes the client search for details is a reminder they will answer later. Put everything needed to pay into the message itself.
- The invoice number and date, so the client can find it.
- The amount due, and the amount already received if it was a part payment.
- The due date, or how many days it is overdue.
- A link to the invoice, and how to pay (UPI ID, bank details or a payment link).
- A clear question: “Could you confirm when the payment will be made?”
7 payment reminder templates, from friendly to final
Adapt the names and details. The first two go before or on the due date, the rest after it.
- Three days before: “Hi Riya, a quick reminder that invoice INV-2026-018 for ₹45,000 is due on 15 October. The invoice is here: [link]. Please let me know if you need anything from my side.”
- On the due date: “Hi Aman, invoice INV-2026-018 for ₹45,000 is due today. You can pay by UPI to [ID]. Thanks!”
- Two days overdue: “Hi Riya, I may have missed the payment for invoice INV-2026-018 (₹45,000, due 15 October). Could you check and confirm when it will be released?”
- A week overdue: “Hi Aman, invoice INV-2026-018 is now 7 days overdue. If there is any issue with the invoice, tell me and I will fix it today. Otherwise, could you confirm the payment date?”
- Part payment received: “Hi Riya, thank you for the ₹20,000 received on 12 October. The balance of ₹25,000 on invoice INV-2026-018 is due on 25 October. Details are here: [link].”
- Two weeks overdue: “Hi Aman, I have not received payment for invoice INV-2026-018 (₹45,000, 14 days overdue). Please confirm by Friday when I can expect it. I would like to keep the project on schedule.”
- Final notice: “Hi Riya, this is a final reminder for invoice INV-2026-018 (₹45,000). If I do not receive the payment or a date by 30 October, I will have to pause further work. I would prefer to avoid that, so please let me know today.”
Practical tipAssume forgetfulness before you assume bad faith. Most overdue invoices were not ignored on purpose; they were buried in an approval queue.
How long to wait before each step
Keep the schedule fixed so the tone is automatic, not an emotional decision on the day. A common pattern is a reminder three days before, one on the due date, one after two days, one after a week, and a firmer message after two weeks. Pick your own numbers and write them in your payment terms: “Payment due within 7 days of the invoice date”.
Late fees and work stoppage should be in the agreed terms before you need them. If they are not on the quotation or invoice, raise them politely rather than surprising the client.
Phone, WhatsApp or email?
Start with a message in writing, because it gives the client the details. If a written reminder gets no answer, a short call usually does: “I am calling about invoice 018. Could you tell me where it is in your approval process?” Then confirm the answer in writing.
Make reminders a system, not a mood
Reminders fail when nobody knows which invoices are unpaid. Keep invoice, amount, due date and balance in one place, and review overdue invoices on a set day each week. In WTS CRM, every invoice shows its balance due, part payments are recorded against it, and you can send an overdue reminder on WhatsApp from the invoice or switch on automatic reminder emails.
That does not replace your judgement on tone, but it means you are never surprised by a payment that is a month late. See also how a GST invoice should look so there is nothing to query.
Frequently asked questions
Quick answers
How do I politely ask a client for payment?
Assume they forgot, state the invoice number, amount and due date, give them the means to pay, and ask them to confirm when the payment will be made. Keep the tone warm in the first two reminders.
How soon after the due date should I send a reminder?
On the due date or within two days. A prompt reminder is easier for both sides than one sent after a month.
What should I do if a client does not respond to reminders?
Call, confirm in writing, then follow the terms you agreed, such as pausing work or charging a late fee if it was in the quotation or invoice. If a large amount is at stake, take advice before taking formal steps.
Can I charge interest on late payments in India?
Only if it was agreed in your terms, or where the law applies to your situation. Put your late-payment terms on the quotation or invoice, and speak to an accountant or lawyer about formal recovery.
