Client management software
Client management software for small businesses
Client details usually live in four places: a phone’s contacts, a spreadsheet, an invoice template and somebody’s memory. WTS CRM keeps one record per client, with the contact details, every note and call, the work you are delivering and what has been invoiced and paid.
Where client information goes missing
Details in personal phones
Numbers and chat history sit on one person’s handset. When they are on leave, or leave for good, the history goes with them.
No single history
What was promised is in a chat, what was quoted is in an email and what was paid is in the bank statement.
Sales and delivery do not share notes
Whoever won the client knows what they asked for. Whoever serves them starts from a one-line brief.
Nobody is sure who has paid
Finding out whether a client still owes money means asking the one person who raises the invoices.
What a client record holds in WTS CRM
Contact and company details
Name, company, phone, email, website, address and industry, plus tags and up to 25 custom fields for whatever else you track.
A timeline of everything
Each record opens on a timeline grouped by day: notes, calls, follow-ups, quotations, invoices and payments, with filters for sales, billing, and notes and calls.
The sales history, kept
A client is the same record it was as a lead, so the source, the early conversations and what they asked for are still there. More on lead management.
Projects and tasks
Open a project on the client and assign the tasks, so delivery sits beside the relationship. See CRM with project management.
Quotations, invoices and balance
Every quotation and GST invoice raised for the client, with part payments recorded and the balance due. See CRM with invoicing.
The next contact, booked
Follow-ups work for clients as well as leads: a renewal call, a check-in, a payment reminder. Open WhatsApp from the record with a saved message template.
From scattered contacts to one client database
Plan for an afternoon. Keep your old sheet untouched until the new routine has run for a couple of weeks.
Import what you have
Upload a CSV or Excel file and map its columns. Invalid rows and duplicate phone numbers are flagged before anything is saved.
Add the fields you use
Create custom fields for what your business tracks, such as a renewal month or a service package.
Give each client an owner
On team plans, assign every client to the person responsible for the relationship.
Log as you go
Add a line after each call or meeting while it is fresh. The timeline keeps it in order.
Book the next contact
End every conversation with a dated follow-up, so no client goes quiet by accident.
Client management software or a CRM?
“Client management software” usually means a database of the customers you already have. A CRM also covers the selling that comes before. For a small business the two are the same list of people at different moments, and splitting them across two tools means copying everything across at the point of sale.
WTS CRM keeps one record from first enquiry to repeat client. The stage changes; the record, its notes and its owner do not.
What it does not do
Each client is one record, a person or a company. There is no separate company account with several contacts beneath it, so extra contacts go in notes or custom fields. WTS CRM is also not a helpdesk: there are no support tickets, and clients do not log in. They open quotations and invoices from a link you share.
Your data stays yours. Lists export as CSV and the whole account as CSV or JSON, and the security page explains how workspaces are kept apart.
Who uses it

What changes when client records are shared
- One searchable record per client instead of contacts scattered across phones.
- Anyone who picks up the phone can read what was last said and agreed.
- Work in progress and money owed sit beside the contact details.
- The record stays with the business when a team member leaves.
What client management costs
Client records are in every plan. Starter (₹499 a month) holds up to 100 clients and leads; Solo (₹999) removes the limit and adds the projects, quotations, invoices and payments that sit on each client. Team (₹2,499) adds 5 seats with roles.
Solo
₹999 / month
- One owner workspace
- Unlimited clients and leads
- Projects and task tracking
- Quotations and GST invoices
- Payment records and receivables
- All core CRM features
The trial unlocks every feature for 3 days and asks for no card. Choose a plan only when it ends.
Frequently asked questions
What is client management software?
Software that keeps each customer’s contact details, conversation history, work and billing in one record the whole team can use, in place of personal contact lists and spreadsheets.
Can I import my existing client list?
Yes. Upload a CSV or XLSX file and map its columns. The preview flags invalid rows and duplicates before anything is saved.
Can the whole team see a client’s history?
Owners and admins see every client. On Team and Agency plans, members see the clients assigned to them, and billing entries follow each person’s role.
Can I store more than one contact for a client?
Each client is a single record. Add further contacts in the notes or in custom fields; there is no separate contact list under a company.
How many clients can I keep?
Starter holds up to 100 clients and leads. Solo, Team and Agency have no limit.
Can I get my client data out again?
Yes. Any list exports as CSV, and you can export the whole account as CSV or JSON at any time.
