CRM for architects

CRM for architects and architecture firms

An architecture commission starts with a few conversations and a fee proposal, then runs for months through drawings, approvals and site visits. WTS CRM keeps the enquiry, the proposal, the stage-wise work and every fee invoice on one client record.

Sound familiar?

Enquiries that need a quick meeting

Referrals and website enquiries wait while the team is on site, and the client meets another firm first.

Fee proposals without a chaser

The proposal goes out, the client takes it to the family or the board, and nobody books the next call.

Stage fees tracked in a register

Concept, drawings, approvals and supervision are billed at different times, and what is still unbilled is a guess.

How WTS CRM works for architects

01

Log the enquiry with the site details

Plot size, location, building type and budget on the lead as custom fields.

02

Send the fee proposal

A GST quotation with each stage as a line, shared as a link, with an email when the client opens it.

03

Run the project in stages

One project per commission with tasks for concept, drawings, approvals and site visits, each with an owner and due date.

04

Invoice each stage

Raise an invoice when a stage is reached and record part payments until the balance is cleared.

What architects use most

Stage-wise fee lines

Quote the fee as stages, such as concept, working drawings and site supervision, each with a SAC code and GST rate.

Revisions on record

A revised fee proposal keeps the earlier version, so you can show what was offered before the scope changed.

Tasks across a long project

Approvals and site visits sit on the calendar as tasks with owners, months after the project was won.

Unbilled and unpaid at a glance

See which invoices are part paid or overdue, and send a reminder on WhatsApp from the invoice.

Everything included

Most architects start on the Solo plan at ₹999 a month, after a free trial. Compare plans.

  • Lead management — Every enquiry in one pipeline, with its status, temperature and notes kept together.
  • Follow-ups and tasks — The next call or message is scheduled, prioritised, and waiting for you each morning.
  • Clients and projects — When a lead is won, the relationship carries on in the same place.
  • GST invoices and payments — Bill the work you won and see exactly what is still owed.
  • Teams and roles — Share one workspace, and give each person only the access their job needs.
  • Reports and your data — See how the pipeline is doing, and keep full control of what is in it.

Questions from architects

Can I quote my fee as a percentage of the project cost?

Quotation lines are amounts, not formulas. Work out the fee for each stage and enter it as a line, with the percentage in the description if you want the client to see it.

Can I invoice a project in stages?

Yes. Raise a separate invoice for each stage, or record several payments against one invoice. Each shows Part paid and the balance due until it is cleared.

Does it store drawings or manage approvals with the authority?

No. It is not drawing management or approval software. Keep drawings where you already do, and track each approval as a task with a due date.

Which plan does a small practice need?

Solo (₹999 a month) for one architect, or Team (₹2499, 5 seats) for a studio with associates. Quotations, projects and invoices come with Solo and above; Starter covers leads and follow-ups only.
