CRM for event planners

CRM for event planners and wedding planners

An event enquiry has a date, a budget and a competitor already on the phone. Keep the date, the quotation and the follow-up together, and take the advance on the same record that holds what you promised.

Sound familiar?

The date decides everything

Two enquiries for the same weekend, and no list that shows which one is further along.

Quotes without a chaser

The proposal goes out, the family discusses it for a week, and the next call depends on someone remembering.

Many people, many promises

The client, their parents and their friends all message; what was agreed gets lost between chats.

Advance, instalments, balance

Payments arrive in pieces over months, and the final balance is worked out the week before the event.

How WTS CRM works for event planners

01

Capture the enquiry with the event date

A date custom field, plus venue city, guest count and budget, on every lead.

02

Follow up until they decide

Each stage change books the next call; the Proposal 7+ days view shows quotes waiting too long.

03

Quote and confirm

Send an itemised GST quotation, see when it is opened, and convert the accepted one into an invoice.

04

Plan the event and collect payments

A project with tasks for vendors and deadlines, and instalments recorded until the balance is zero.

What event planners use most

The event date on the lead

Keep the event date in its own field, then search for it or export the list to see which enquiries compete for the same date.

Quotation to invoice

The accepted quotation becomes a GST invoice with the same line items, and the advance is recorded on it.

Tasks for the run-up

Create a task list per event with owners and due dates, and see what is coming up on the calendar.

Reminders for balance payments

Send an overdue reminder on WhatsApp from the invoice, or switch on automatic reminder emails.

Everything included

Most event planners start on the Solo plan at ₹999 a month, after a free trial. Compare plans.

  • Lead management — Every enquiry in one pipeline, with its status, temperature and notes kept together.
  • Follow-ups and tasks — The next call or message is scheduled, prioritised, and waiting for you each morning.
  • Clients and projects — When a lead is won, the relationship carries on in the same place.
  • GST invoices and payments — Bill the work you won and see exactly what is still owed.
  • Teams and roles — Share one workspace, and give each person only the access their job needs.
  • Reports and your data — See how the pipeline is doing, and keep full control of what is in it.

Questions from event planners

Can I store the event date and guest count?

Yes. Add custom fields (text, number, date, dropdown or yes/no) for event date, city, guest count and budget. They are searchable and included in CSV exports.

Does it check whether a date is already booked?

No. It does not hold a venue or team calendar. You can filter leads by the event-date field to see what is already on that date.

Can I collect advance and instalments?

Yes. Record each payment against the invoice by UPI, bank transfer, cash or cheque; the invoice shows Part paid and the balance until it is cleared.

Can I manage vendors?

There is no vendor directory or vendor payments. Use tasks to track who needs to do what by when.
