CRM for marketing agencies

CRM for digital marketing agencies

A digital agency sells in one rhythm and bills in another: leads arrive from campaigns, referrals and your own website, and won clients pay a retainer every month. WTS CRM keeps the pitch pipeline, the retainer projects and the monthly invoices on the same client record.

What slows a marketing agency’s sales down

Leads from five channels, no one list

Website forms, ad-lead downloads, referrals, WhatsApp and events each end up in a different inbox or sheet.

Slow first response

A lead from a paid campaign waits a day for a call because nobody knew it was theirs.

Pitches that stall at proposal

Proposals for SEO or social retainers go out and sit for weeks without a planned nudge.

Retainer billing from memory

Monthly invoices depend on someone remembering which clients are active this month, and who has paid.

How WTS CRM fits a marketing agency

The source on every lead

Record where each enquiry came from (your website, a Meta or Google Ads export, a referral) and tag leads by campaign.

Fast assignment

New leads get an owner straight away, and on team plans account managers see only the leads and clients assigned to them.

Pitch tracking

Leads moved to Proposal get a follow-up booked automatically, and the Proposal 7+ days view shows which pitches have stalled.

Retainer projects

Each won client can have projects by service (SEO, ads, branding or other) with a budget, a status and tasks for the account team.

Monthly GST invoices

Raise each month’s invoice from the client, record payments, and chase overdue ones on WhatsApp or with optional automatic emails.

Why pitches are lost

Lost leads carry a reason (price, no budget, went silent, chose a competitor) that shows up in analytics.

Every pitch, by stage

The lead pipeline board with New, Contacted, Qualified and Proposal columns; each lead shows its temperature, next follow-up and owner
The Leads board shows each enquiry by stage with its temperature, next follow-up and owner. Overdue follow-ups are flagged on the card, so a stalled pitch is visible at a glance.

From campaign lead to retainer client

01

Capture with the source

Website forms and Google Ads lead forms arrive through their own webhook URLs, Meta lead ads through Zapier or a CSV import, and referrals are added by hand. See website lead capture.

02

Assign and respond

The owner makes first contact and moves the lead to Contacted, which books the next follow-up.

03

Pitch

Send the proposal or a GST quotation; a chaser is booked and you hear when it is opened.

04

Onboard

Mark it Won, create the retainer project and assign the setup tasks.

05

Bill each month

Raise the monthly invoice, record the payment and chase overdue ones.

06

Plan renewals

Book a follow-up before each contract ends, so a renewal is a conversation rather than a surprise.

Be precise about ad integrations

WTS CRM organises leads once they are captured: through your website form, a webhook, an imported file or manual entry. Facebook and Instagram lead ads have no built-in connection: route them through Zapier, Make or Pabbly, or download them from Meta as a CSV and import them. It is not an advertising platform, and it does not replace campaign analytics or client reporting tools.

For every source, check whether leads arrive automatically or by import, and test field mapping, duplicate handling and who owns new leads. The lead management software page covers imports and duplicate protection in more detail.

Agencies it fits

SEO agencies

Audit-led pitches, long decisions and monthly retainers.

Social media agencies

Many small enquiries, quick proposals, and account managers who each own a set of clients.

What changes for the agency

  • Every lead keeps its source, so you know which channels bring clients, not just clicks.
  • New enquiries get an owner and a first response the same day.
  • Retainer clients, their projects and their monthly invoices sit together.
  • Lost pitches record why, so pricing and positioning can be adjusted.

What it costs a marketing agency

Team is ₹2,499 a month for 5 people, including quotations, projects, invoices and payments; extra seats are ₹399 each. Agencies with account teams of up to 15 can choose Agency (₹4,999), which adds advanced reporting.

Frequently asked questions

Can I track Google Ads leads?

You can record Google Ads as the lead source and capture enquiries from the destination form or import them. Check the exact capture path your website uses.

Do Facebook and Instagram lead ads flow in automatically?

Not directly. Route them through Zapier, Make or Pabbly to a lead source’s webhook URL, or download the leads from Meta Ads Manager as a CSV and import them; each keeps its source.

Can I bill monthly retainers?

Yes. Raise a GST invoice for each client each month and record payments against it. Invoices are not created on a recurring schedule automatically, so many agencies book a monthly follow-up per retainer as the reminder.

Can account managers see only their own clients?

Yes. On Team and Agency plans, members see the leads and clients assigned to them; owners and admins see everything.

Does it include client reporting or campaign analytics?

No. Keep campaign reporting in your ad and analytics tools. WTS CRM reports on your own sales pipeline, lost reasons, revenue and payments.
