WhatsApp Follow-Up Message Templates for Leads and Clients (Copy and Paste)
12 WhatsApp follow-up messages for new enquiries, missed calls, site visits, proposals and cold leads, with tips on timing and tone.

WhatsApp is where most Indian customers answer first, and also where a good enquiry vanishes under group chats. The right message at the right moment gets a reply; a vague one gets a blue tick and silence. Here are twelve follow-up messages for the situations small teams meet every week, plus the rules that keep them from feeling like spam.
Keep each WhatsApp follow-up short, specific and easy to answer, and record the next step in your CRM so the chat is not your pipeline.
Rules for WhatsApp follow-ups that get replies
A WhatsApp message is read on a lock screen, so the first line has to make sense alone. Use the person's name, name the thing they asked about, and ask one question that can be answered with a word.
- Send in working hours, and avoid late evenings unless the client does.
- One message, one question. Do not stack three asks.
- Write like a person: short sentences, no brochure paragraphs.
- Do not send bulk or broadcast messages to people who have not agreed to hear from you.
- Put detail in the quotation or email, and keep the chat for the nudge.
Messages for new enquiries
Speed matters most in the first hour; see how quickly to respond to a new lead.
- First reply: “Hi Riya, this is Piyush from [Company]. Thanks for your enquiry about [service]. When is a good time for a quick call today to understand what you need?”
- After a missed call: “Hi Aman, I tried calling about your [service] enquiry. I will try again at 5 pm. If another time suits you, just reply here.”
- Asking for details: “Hi Riya, to prepare an accurate quote, could you share the number of pages and your launch date?”
Messages after a call, meeting or site visit
Send the recap the same day, while the conversation is fresh.
- After a call: “Thanks for your time, Aman. To confirm what we discussed: [scope], starting around [date]. I will send the quotation by Thursday.”
- After a site visit: “Hi Riya, thank you for showing me the space today. I will share the design options and a quotation by Monday. Is there anything you would like me to keep in mind?”
- Demo or trial done: “Hi Aman, how did the trial go? If you tell me what felt slow or unclear, I can help set it up for your team.”
Messages for proposals, quiet leads and closing the loop
For quotations specifically, use the schedule and eight messages in the quotation follow-up guide. For others:
- Nudge after a few days: “Hi Riya, did you get a chance to look at the proposal? Happy to explain any part of it.”
- Add value: “Hi Aman, this is a similar project we completed recently: [link]. Thought it might help your decision.”
- Re-engage a cold lead: “Hi Riya, we spoke in August about [project]. Is it still something you are planning? If the timing changed, I can check back in a month.”
- Reschedule a callback: “Hi Aman, you asked me to call back this week. Would Thursday at 11 or Friday at 4 suit you?”
- Close the loop: “Hi Riya, I will close this enquiry for now so I am not bothering you. If you want to restart, message me anytime.”
Practical tipSave your best versions as templates so nobody retypes them. In WTS CRM you can keep message templates and open WhatsApp from a lead or follow-up with one filled in; you read and send it yourself.
Keep the pipeline in a CRM, not the chat
Chats are ordered by the latest message, not by priority, so a promising enquiry can sink in a day. After each conversation, record the outcome and the next follow-up date on the lead, so tomorrow's list does not depend on scrolling. The WhatsApp follow-up CRM page explains the workflow, including what it does not do: it opens a chat from the saved number but is not a shared WhatsApp inbox, and it does not send messages for you.
Frequently asked questions
Quick answers
How do I write a good WhatsApp follow-up message to a client?
Use their name, refer to the specific thing you discussed, add one useful detail and ask one easy question. Keep it to two or three short lines.
How soon should I follow up on WhatsApp after a meeting?
The same day for a recap, and then according to the next step you agreed. If you promised a quotation by Thursday, send it by Thursday and follow up two days after.
Can I send WhatsApp messages in bulk to leads?
Avoid it. Unsolicited bulk messages annoy people and can get a number restricted. Send individual, relevant messages to people who have enquired or agreed to hear from you.
Does a CRM send WhatsApp messages for me?
WTS CRM opens WhatsApp from a lead with one of your saved templates filled in, and you send it yourself. It is not a bulk-messaging or shared-inbox tool.
