A Sales Call Log Template That Makes the Next Call Easier
Use a simple sales call log template with examples for answered calls, missed calls and callbacks. Track outcomes and next steps without long notes.

The most useful call note is the one a teammate can read before the next conversation. A list of numbers dialled tells you that work happened, but a short record of the result tells you what to do next. Start with a few consistent fields and write the note while the conversation is fresh.
Record the attempt, the business outcome and the next action separately. A connected call does not automatically mean a qualified opportunity.
The fields every sales call log needs
Keep the log short enough to update after each call. If it requires a paragraph for every field, people will postpone it until the details are lost.
Use this copyable format in a CRM note or your current worksheet. Link it to the existing lead rather than making a second customer list.
- Lead or company: who the call concerns.
- Date and caller: when it happened and who handled it.
- Contact result: answered, no answer, busy or failed.
- Conversation summary: need, answer or objection discussed.
- Commitment: what you or the buyer agreed to do.
- Next action and due date: what happens after this call.
Example: a useful discovery call
Lead: North Street Studio. Caller: Riya, 26 October. Contact result: answered. Summary: needs a replacement website with a service catalogue; current issue is that enquiries arrive without enough detail. Commitment: send two scope options after receiving the page list. Next action: request page list today; review on 29 October.
This note distinguishes an answered call from actual qualification. The project still needs a clear scope and decision process. Another salesperson can see both the progress and what remains unknown.
Example: no answer or a requested callback
For an unanswered call, keep the result factual: "No answer. First attempt after website enquiry. Next action: retry tomorrow afternoon." Do not infer that the prospect is uninterested from one missed call.
For a callback, record the buyer's requested timing: "Answered briefly; in a meeting. Asked for a call Thursday after 3 pm about the maintenance proposal." Schedule that action rather than adding an undated reminder to call again.
Practical tipIf the buyer gives a time, use it. A precise callback request is more useful than a generic follow-up interval.
Separate provider details from the sales result
A calling provider can report that the phones connected and how long the call lasted. It cannot reliably tell you whether the buyer has budget, whether a proposal was requested or whether the project has been postponed.
Store technical call details alongside a short human summary. A long call can end without a next step; a short call can confirm acceptance. Review the agreed action before using duration as a sign of sales progress.
Use the log to plan the next working day
At the end of the day, check callbacks due tomorrow and promises you still need to fulfil. Prepare the relevant quotation, answer or scope before calling.
During a team review, sample a few records instead of rewarding the largest attempt count. Can another teammate understand the requirement? Is the next action clear? Has a promised document actually been sent? Those questions expose gaps a call total cannot.
- Start with callbacks the buyer requested.
- Complete promises from the last conversation.
- Review repeated unanswered attempts before trying again.
- Close or reschedule records with a clear reason.
Keep calling and follow-up work together
WTS CRM keeps the lead context and follow-ups together. With Exotel connected, calls started through the CRM can return their result and duration to the lead timeline, with recording links when enabled. Calls made independently from your phone do not become tracked calls merely because a dial link exists.
See sales call tracking software for the setup boundaries. Use the telecalling follow-up script to prepare the conversation, then write the actual outcome in your own words.
Frequently asked questions
Quick answers
What should a sales call log include?
Include the lead, caller, date, contact result, short conversation summary, commitments and next action with a due date.
Should missed calls be logged?
Yes. Record the attempt and the next sensible action, without treating an unanswered call as proof that a lead is not interested.
Does call duration show whether a lead is qualified?
No. Duration measures time on the call. Qualification depends on what you learned about the need, fit, decision process and timing.
