How to Plan Sales Follow-Ups With Google Calendar
Plan sales follow-ups with a CRM and Google Calendar. Set useful reminders, protect time for callbacks and keep dates and outcomes in one workflow.

A full calendar does not always include the work that moves a sale forward. Promised callbacks can sit in CRM notes while meetings take every available slot. A reliable routine combines the customer record, a dated follow-up and time in the day to carry it out.
Keep the next action and outcome in the CRM, and use the calendar to see when you will do the work. Check due and overdue follow-ups even when the calendar looks clear.
Start with a specific next action
"Follow up with Aman" leaves too much to remember. "Call Aman after his team reviews the revised scope on Thursday" explains the timing and purpose. Save that context against the lead before choosing the date.
Separate a reminder to yourself from a meeting agreed with the buyer. A follow-up event on your calendar is a prompt to act; it is not proof that the prospect accepted an invitation or reserved the same time.
- What question needs an answer?
- What have you promised to send?
- Did the buyer request a date or time?
- Do you need to prepare anything before making contact?
Choose one calendar for sales actions
Use a clearly named calendar for follow-up work so you can distinguish it from meetings and personal commitments. Check which Google account you connected, especially if your browser is signed in to several accounts.
In WTS CRM, open Settings, connect Google Calendar, select a calendar and save it to sync pending follow-ups. Start with one test record and verify that it appears where you expect. The Google Calendar integration page explains what the connection covers.
Test the routine before filling the calendar
Create a test follow-up with an obvious title and an easy-to-check date. Confirm it appears in the selected calendar, then change the follow-up date in the CRM and check again. Complete it in the CRM and verify the calendar has caught up.
Manage the follow-up plan in the CRM. Do not assume dragging an event in Google updates the lead record: the WTS CRM integration sends follow-up information to Google and does not promise two-way editing of all events.
Practical tipA small test is also useful after changing the Google account or the selected calendar. It catches configuration mistakes before they affect a busy day.
Protect a realistic block for callbacks
A reminder needs somewhere to fit. At the start of the day, compare follow-ups due with meetings already booked and leave time for preparation and notes. If ten callbacks cannot fit, prioritise commitments already made to buyers and reschedule the rest deliberately.
Keep the schedule realistic. Some calls do not connect, while others turn into a detailed conversation. Review the queue after the first block rather than assuming every action will take the same time.
Close the loop after each contact
When a follow-up is done, record what happened in the CRM. Note whether you spoke, what changed and whether another action is needed. A calendar reminder disappearing does not explain the sales outcome to the next teammate.
If the conversation creates a new commitment, schedule that as a new clear action. Avoid repeatedly moving an old reminder forward without updating its purpose. The follow-up email after a meeting guide helps turn the discussion into a written recap.
Check the CRM queue when sync needs attention
A calendar connection is helpful, but it should not become the only view of your sales work. Check due and overdue follow-ups in the CRM each morning, including when no events appear in Google.
If the two views disagree, check the selected account and calendar, review sync status in Settings and run a manual sync. Continue working from the follow-up queue while the connection needs attention.
- Morning: review due and overdue actions.
- Before a callback block: read the lead context.
- After contact: record the outcome and next action.
- End of day: check tomorrow's promises and any sync issues.
Frequently asked questions
Quick answers
Is a calendar follow-up the same as a booked meeting?
No. A follow-up reminder is your prompt to take an action. A meeting requires agreement with the buyer about attendance and timing.
Where should I change a synced follow-up date?
Change it in WTS CRM so the lead record remains the source of the follow-up plan, then check that Google Calendar has synced.
What if Google Calendar is missing a follow-up?
Check the CRM queue first, then the connected account, selected calendar and sync status. Use manual sync and verify a test record before relying on the calendar again.
