Follow-Up Email After a Meeting: 7 Templates for Clients and Prospects
What to put in a follow-up email after a client or sales meeting, when to send it, subject lines and 7 templates, plus a short WhatsApp version.

The meeting went well, everyone agreed on next steps, and a week later nobody remembers what they were. A short follow-up email sent the same day fixes that. It records what was agreed, gives the client something to forward to whoever decides, and puts the next step and its date in writing. Here is what to include, when to send it, and seven templates you can adapt.
Send it the same day, keep it under 150 words, and end with one next step that has an owner and a date.
What a meeting follow-up email should include
Keep it short enough to read on a phone. The client should be able to forward it to a partner or manager without editing.
- A one-line thank you that names the meeting.
- Two or three lines on what they need, in their words.
- What was agreed, with who does what.
- The next step and its date.
- Any attachment or link you promised, such as a sample, a brochure or the quotation.
Practical tipWrite the summary from your notes during the meeting. The client’s own phrases (“we need leads from Pune”) show that you listened.
When to send it
The same day, ideally within a few hours. The meeting is fresh for both of you, and a quick email reads as a sign of how you will work. If you promised a quotation, send the email now and the quotation by the date you gave, rather than waiting to send both together.
7 follow-up email templates
Replace the names and details. Each one ends with a single, specific next step.
- After a first sales meeting: “Hi Ankit, thank you for your time today. As I understood it, you want more enquiries from Pune and a faster way to reply to them. As agreed, I will send a proposal with two options by Thursday, and we will speak on Friday at 11 to go through it.”
- After a site visit: “Hi Meera, thank you for showing us the flat today. We noted the kitchen, two wardrobes and the false ceiling in the living room, with work starting in December. Our quotation will reach you by Wednesday evening. Shall I call on Thursday to walk you through it?”
- After a demo: “Hi Rohit, thanks for joining the demo. You were most interested in the follow-up reminders and the GST quotations. I have shared a trial account for your team. Can we check in next Tuesday to see how it went?”
- When no decision was made: “Hi Sneha, thank you for the meeting. I understand you need to discuss the budget with your partner first. I have attached the summary we went through, so it is easy to share. When should I call to hear what you decided?”
- When you promised something: “Hi Vikram, as promised, here are two examples of similar projects we delivered. The pricing we discussed is in the attached quotation, valid until 30 November. Happy to answer any questions.”
- After meeting at an event: “Hi Farah, it was good to meet you at the expo yesterday. You mentioned you are looking for a new supplier for packaging in January. Could we set up a 20-minute call next week to understand your volumes?”
- If there is no reply after a week: “Hi Ankit, I am following up on my note after our meeting. The proposal is attached again for convenience. Is Friday still a good time to talk, or should we find another day?”
Subject lines that get opened
Name the meeting and the next step. Generic subjects like “Following up” are easy to skip.
- “Our meeting today: summary and next steps”
- “Site visit on 12 Nov: what we noted”
- “Proposal for your website project, as discussed”
- “Next steps after today’s demo”
The WhatsApp version
Many clients read WhatsApp faster than email. Send a two-line message that points to the email: “Hi Meera, thanks for today. I have emailed a short summary of what we discussed; the quotation will follow by Wednesday evening.”
Keep the detail in the email, where it can be forwarded and found later.
Make sure the next step happens
The email records the next step; something still has to remind you of it. Add the meeting notes to the client’s record and book the follow-up for the date you wrote in the email before you send it.
In WTS CRM, the notes, the follow-up date and the quotation sit on the same lead, the follow-up appears in your 9:00 email on the day it is due, and you are told the first time the client opens the quotation. Saved WhatsApp templates open the short version in one tap from the lead.
Frequently asked questions
Quick answers
How soon should I send a follow-up email after a meeting?
The same day, preferably within a few hours, while the details are fresh for both sides. A next-morning email is fine if the meeting ended late.
How long should a meeting follow-up email be?
Under about 150 words: a thank you, a short summary, what was agreed and the next step with a date. Put longer material in an attachment or link.
What if the client does not reply to my follow-up email?
Wait about a week, then send a short reminder that restates the next step and offers a new time. If there is still no reply, call, or send a brief WhatsApp message.
Should I send meeting notes to the client?
Send a short summary of what was agreed, not your full notes. Keep the detailed notes on the client’s record for your own team.
